Working well with others is a whole new concept to me.
I have to think hard; we've tried tons of different bad approaches in the past and all fail because the group is extremely sensitive to usage ease. I'm doing a lot of research to try to avoid imposing some clunky solution on the group that nobody will want to use.

@JasonC We use hangouts for informal stuff, but Vidyo for major teleconferences that need to be able to be replayed later. Hangouts are limited to 15 people even when you pay for them.
@Braiam Pretty much. Also, for reasons way too complicated to explain, the leader-type members of this group tend to fall into this unintentional downward spiral of doing everything "internally", spreading ourselves too thin and slowly alienating group members.
It's not free, however. I don't know of anything like it that is.
I'm not concerned about it being free, as long as its free for participants.

Pros: Great on bandwidth, crystal clear, screen shares, etc. Drawbacks? Frequent updates, a kinda wonky installer, and many people find the UI confusing to some extent.
A major problem is, every time we try to patch systems together, e.g. a forum + a conferencing tool, participation stagnates. It's been years of failed attempts. One step = OK. Two steps = falls apart.
With Vidyo you visit a link, which launches the desktop / mobile app, telling it what conference to join.
Up to you to have something recording it

The pros definitely outweigh the cons.
My only gripe is the update mechanism and 'installer' it uses to do that, kinda error prone especially if you skip a version, but that's sort of minor. What it actually does, it does really well.
And, it's pretty strong on mobile (Android / IOS) - I like the mobile versions better than the desktop one.
Do you have to explicitly install it ahead of time or is there a good flow from "want to join conference" to "software is installed"?

For 15 people or less? Go with Google hangouts (just sign up for a paid google apps account)
Pros: It's frigging magic. Cons: 15 or fewer, having multiple Google accounts can sometimes lead to major confusion.
My problem with Hangouts, and a few of the things I've looked at in general, though, is they don't seem to have a great ability to build up to said meeting. Things like, allowing people who may not participate in the actual live meeting to post talking points and such ahead of time.
My goal is to encourage group participation in any way possible, excluding thoughts from folks who can't make the meeting itself is a big issue in this particular group. Any chance to participate is a huge plus.
We're also struggling with some bigger picture group dynamics problems that have been slowly evolving over time, primarily boiling down to people wanting to participate in planning but not knowing how, and also the general effect this has: High participation = a feeling that the group belongs to you and that you have responsibility, lack of ability to participate = the opposite, with plenty of side effects. It's... complicated.
Even if 99% of group input is bad ideas, it doesn't matter, as long as people feel like they have an outlet, we're good.

@Yes That is a potential next step. My goal right now is to find some software platforms that I can use as concrete suggestions, then initiate this conversation among the group (if group discussion fails then pm.se is a backup plan).
Right now I have this conversation a lot with individual group members, and it stays isolated to those frequent but casual conversations. Which is really indicative of the problem.
I don't want to initiate a public discussion unless I also have some concrete suggestions for possible solutions. At the bare minimum they'll give good initial talking points.
